ACE's Emerging Professionals in Conservation (EPIC) program has a national reputation for providing exceptional training and support to enable individuals to safely and economically implement technically complex and physically demanding conservation projects for the National Park Service, the US Forest Service, Bureau of Land Management, US Fish and Wildlife and numerous state and local land management partners.
Title: ACE EPIC Division Support Specialist
Location: Salt Lake City, UT. Options may include other ACE offices or telework status given COVID-19 or other potential considerations
Department/Division: EPIC, National Park Service (NPS)
Status: Regular, Full-Time, Salaried (Exempt)
Schedule/Hours: Flexible schedule (Monday-Friday); some evening and weekend hours may be occasionally required
Compensation: Full-Time, 40 hours/week within a flexible schedule. Competitive pay with a benefits package that includes health, dental, vision and supplemental insurance, paid vacation, sick leave, designated holidays and 401k retirement for qualified employees

Position Summary:
ACE is seeking candidates for Division Support Specialist for the Emerging Professionals in Conservation (EPIC), National Park Service (NPS) Division who are passionate about youth engagement, resource management, and desires to work at the national level through ACE's 21st Century Service Corps partnership with Federal land management agencies. Our cooperative partnership responsibility is to bridge EPIC pathways to public service careers, both federal and nongovernmental.
The Division Support Specialist for the EPIC NPS Division will work under the direction and support of division leadership to assist with a variety of administrative, programmatic and operational projects. In support of facilitating meaningful conservation professional development opportunities for youth and young adults on public lands, the Division Support Specialist will be responsible for AmeriCorps member enrollment and compliance as well as supporting project and program reporting and assisting with ongoing division recruitment and outreach efforts.
Essential Functions and Responsibilities:
The Division Support Specialist will support the Director, the Associate Directors and the Member Coordinators in a variety of operational, programmatic and project specific tasks including:
AmeriCorps-Specific Division Support:
- Facilitate AmeriCorps member onboarding and account review associated with the following enrollment actions:
- eGrants administration, criminal history check adjudications and tracking, America Learns (timesheet) account setup
- Compliance and review during members terms may include:
- Member timesheet entry audits, Volunteer Service Project consultation and documentation, Mid-term review support, exiting evaluation processing and term close-out audits
- As necessary, aiding Member Coordinators with AmeriCorps member term related documentation and compliance
- Annual end of grant-cycle and post-term reporting and account audits
- Support to the division through hosting internal trainings, subject-matter discussions, and case-studies to ensure a highly equipped team with all AmeriCorps grant stipulations; especially during times with shifting compliance expectations and new policy implementation
Data Management and Reporting:
- As project-specific and scheduled reporting needs arise the support specialist will work alongside division staff to aid in data quality assurance and completion.
- Project reporting for federal financial and accomplishments performance are on a quarterly, semi-annual and annual basis.
- Assist the NPS team in reviewing and managing member files.
- Recruitment and Outreach:
- Assist with recruitment and outreach efforts for the NPS Division, including:
- Facilitate and support candidate screening and selection process including editing and posting announcements, reviewing and interviewing candidates, conducting reference checks Conduct first-round applicant interviewing/vetting
- Assist with timely and accurate onboarding of new hires, including but not limited to data entry of new hire's employment information.
Member Support:
- Coordinate NPS Division uniform inventory needs as well as member uniform logistics from fulfillment center and our existing inventory
- Assist with time and attendance reporting and processing as needed
- Co-lead program overview or other webinar events for new incoming members
Additional Responsibilities:
- Represent ACE's philosophy and values to a wide range of audiences including but not limited to ACE members, programmatic staff, partners and the public
- Foster a culture and environment that positions ACE for success and ensures that ACE is the program of choice for partners, members and staff
- Adhere to ACE safety policies and procedures; report any unsafe or harmful conditions, incidents and/or accidents immediately
Required Experience and Qualifications:
- Ability to effectively work with a diverse range of people as a contributing member of the team, and to work independently
- Strong written and oral communication skills
- A deep and continuing interest in the welfare and effectiveness of the NPS Division team
- Commitment to ACE's mission of public service through youth development & volunteerism
- Highly organized with the ability to maintain organization of numerous accounts for projects nationwide, utilizing proprietary database tools
- Computer skills required including intermediate knowledge of Google Suites, MS Office, iOS, and professional email etiquette as well as experience or willingness to learn applicant tracking software, personnel databases, and webinar platforms such as Zoom or equivalent
- Must be flexible and eager to engage the highly mobile and largely remote teams that make up ACE
- Effective time management skills, and the ability/desire to concurrently perform multiple deadline-driven tasks
- Ability to receive and provide constructive feedback
- Ability to prepare and maintain records and reports
- Ability to understand and carry out oral and written instructions
- Ability to understand and follow ACE systems and processes
Other Requirements:
- Legal ability to work in the US
- Proficient in English
- Ability to pass a federal criminal background check
- Willing to abide by ACE Policy and Federal Drug Free workplace policies and laws. ACE reserves the right to drug test at any time
Preferred Experience and Qualifications:
- Previous experience in formal team setting (volunteer, academic, professional)
- Interest and/or knowledge of non-profit program or project management
- Experience with the National Park Service, other land management agencies, or interest in supporting those who implement the NPS mission: to "balance public resource enjoyment, education, and inspiration with resource preservation"
- Desire to participate in field projects alongside ACE participants, when possible.
- Valid driver's license and an insurable driving record
Physical Demands, Work Environment and Working Conditions
Physical Demands: Requires frequent sitting, standing, walking, carrying, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of computer keyboard/mouse and other routine office equipment. May occasionally be required to stoop, kneel, climb stairs, and/or crouch
Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus
Weight Lifted or Force Exerted: Frequently lifts up to 10 pounds, occasionally lifts up to 25 pounds
Environmental: Moderate noise such as in a business office with equipment and light traffic
Travel: This position may require limited local, domestic travel
