ACE CA Management, Development and Logistical Support Internship
American Conservation Experience California is seeking a Management, Development and Logistical Support Intern to assist both the State Director and the Logistics/Volunteer Coordinator and provide direct interactions with ACE staff, conservation corps members, and with American and international conservation volunteers engaged in service to improve and/or construct trails, reduce fuels in fire-prone environments, and perform habitat enhancement and restoration activities at locations across California.
This is an opportunity for the right person to gain diverse, direct experience with a thriving, fast-paced, non-profit conservation organization located in Santa Cruz, CA. ACE will introduce you to the fundamentals of non-profit management, development, and logistical support duties associated with our conservation activities.
The Management, Development and Logistical Support Intern assists both the State Director and the Logistics/Volunteer Coordinator, represents ACE staff at the Santa Cruz ACE house, and is available to participate in, lead or assist with leading conservation crews on an as-needed, yet generally limited basis. The ideal candidate is a self-motivated generalist, familiar with or eager to learn ACE culture and practices, with the ability to prioritize and execute diverse tasks in a congenial manner, with minimal supervision.
The position requires flexibility, creativeness, dedication, and the ability/willingness to serve as a team player in a dynamic and demanding program. This is a 40 hour per week internship, and comes with a stipend/living allowance of $220 per week, with hostel-style housing provided without charge at the ACE house in Santa Cruz, CA.
The internship term is from July 1 (or as close as possible) to December 15, 2013. There is a possibility for this position to transition to a staff position for the right person.
The holder of this position should expect to spend approximately 15 to 20 hours per week providing support to the State Director through administrative tasks that may include maintaining project and program files, data tracking and analysis, assist in identifying and preparing grant applications, promotional and conference materials and displays, and assist with correspondences and tasks related to financial and payroll reporting. Opportunities for special projects and/or attendance at conferences or other events are anticipated.
The intern will spend approximately 10 to 15 hours per week providing support to the Logistics/Volunteer Coordinator. Such assistance likely will include shopping for food and supplies related to project mobilization and re-supplies, assisting with tool acquisition, picking up/transporting volunteers, and providing assistance with routine vehicle maintenance. This will include using the California project schedule to anticipate housing needs, and ensure that housing is available for conservation crew-members returning to Santa Cruz in between their projects.
The intern should expect to spend approximately 5 to 10 hours per week assisting with housing needs for the ACE House in Santa Cruz, California. The position includes residency in the ACE Santa Cruz house, where the holder of this position helps oversee the smooth functioning of the facility, reports on needed repairs, assists with minor repairs and maintenance, organizes and oversees cleaning parties, manages simple disruptions and needs, and contacts senior staff for more serious disruptions/needs.
Field support includes occasionally leading, helping lead or participating in (primarily local) crews, participating in project resupply efforts for crews on long-duration projects, and other associated tasks as assigned by senior operations staff. Field support is not likely to occur on a regular basis, and will be assigned, as needed, possibly preempting other tasks associated with this position when it is assigned.
This position is under the direct supervision of the State Director (for administrative and special program assignments) and is under the supervision of the Logistic/Volunteer Coordinator for responsibilities related to housing, food, project supplies and vehicles.
2. REQUIRED KNOWLEDGE, SKILLS and ABILITIES:
- Knowledge of commonly available software such as Excel, Word, Power Point
- Ability to work independently and budget time as per task priorities
- Integrity and discretion relative to maintaining and handling confidential information
- Ability to exercise sound judgment and discretion in executing duties
- Knowledge of simple property and housing maintenance and repair
- Ability to adapt to surrounding work environment and conditions that can change frequently
- Ability to establish and maintain effective working relationships with AmeriCorps members, volunteers, field supervisors and administrative staff
- Ability to lead field crews and interact effectively and respectfully with project partners.
- Ability to understand and carry out oral and written instructions
- Ability to understand and follow ACE systems and processes, including Fiscal Policy and budgeting
3. TYPICAL DUTIES:
Administrative Duties:
- Work closely with State Director on maintaining Project and Program files and correspondence
- Help collect, enter and analyze project and program data
- Help design and develop promotional/recruitment materials
- Assist in identification of grants and assist in preparing grant proposals
- Special projects as determined by State Director
Assist with Management of Food Provisions:
- Help prepare recipes and ingredient lists for each ACE CA crew departing for project
- Help purchase food within budget parameters for ACE CA crews and organize food in dry boxes and coolers
- Help manage safe, OSHA compatible storage protocols of non-perishable food and cookset items in a clean and organized manner
- Help operation of sorting left over food as it returns from project, ensuring that non-perishables are restocked and coolers are clean, hygienic, and maintained
House Maintenance
- Assist with maintenance and simple repairs in all of the ACE, Santa Cruz houses, offices, sheds and properties.
- Help create and facilitate cleaning procedures Broadway House, including assigning volunteers to beds, supervising AmeriCorps members and staff to hold them accountable for the maintenance of clean housing
- May occasionally provide or oversee the provision of detailed volunteer housing orientation
Project Supplies and Logistics:
- Help maintain stocks of personal protective equipment, gloves, hardhats, glasses and earplugs
- Help organize a storage system for first aid supplies and then maintain a stock of all first aid items so that the supervisors can refill their first aid kits
- Help maintain stocks of cleaning supplies for vehicles
- Help develop and implement protocols to manage inventory and repair of ACE tents
Field Support
- Qualified to help lead crews, primarily for local, restoration work
- Transport crew members, supplies and vehicles, to and from projects, as needed
Emergencies
- Respond to emergencies and ensure that staff is aware of any gaps in availability
- Respond to emergencies in a timely manner. These include but are not limited to, vehicles, housing and project sites. Communicate needs to appropriate senior staff
4. OTHER REQUIREMENTS:
- Must maintain a positive, constructive work environment conducive to team dynamics
- Must be flexible and possess a high work ethic
- Must maintain timely, effective communication with volunteers and staff
- Must maintain optimal physical health, including a drug-free lifestyle
- Must possess a valid driver's license with a clean driving record
