Job Description:

American Conservation Experience, 501c3, is seeking an Accounting Specialist to join the Emerging Professionals Internship Corps Program (EPIC), a National internship program dedicated to developing and diversifying the conservation workforce nationwide. 

Under the guidance of the Finance Director, the Accounting Specialist is responsible for processing and tracking all capital expenses, managing receipts, credit cards, per diems and reimbursements, and travel/training management.  The Accounting Specialist will be responsible for assisting with the payroll processing and various general ledger functions in accounting systems and for supporting fiscal management functions in the EPIC branch of the organization.

The ideal candidate will exhibit attention to detail and timely delivery of various reports while working in a dynamic and ambiguous environment and will be committed to ACE's mission to public service through professional development & volunteerism. The goal for ACE is to be responsive and capable to respond to its mission and the needs of its constituents. Previous Work Experience: Previous experience in payroll processing as well as organizational and management accounting & purchasing for non-profits is desired. Advanced Excel & Database experience preferred.  Knowledge of Non-profit accounting software is beneficial. Education Requirements: Bachelor's degree in accounting, finance, business, or related field is preferred accounting & financial management experience may compensate for education.

Performs a variety of accounting duties that range in level of complexity from clerical accounting duties such as managing account receivables or payroll reporting, to more complex duties such as invoicing, refunds, approvals, electronic journal entries, project closeout and reconciling accounts.

 

RESPONSIBILITIES:

  1. Assist with A/R invoicing & draw downs.

  2. Assist with P/R support for new hires.

  3. Processing all travel, training, per-diem, and other reimbursements for all interns.

  4. Entering all expenditures into project management databases, and assures direct costs are accounted for.

  5. Reviews expense and accounting documents for accuracy and appropriate approvals and ensures transactions are charged to the Sponsored Project and correct budget accounts.

  6. Assists with Sponsored Project accounts receivable, including invoice preparation, bank deposits, aging reports, follow up on past due accounts. Sometimes interacts with project Sponsor to resolve discrepancies or recover aging accounts receivables.

  7. Processes purchasing and travel documents. Solves invoice problems and processes for payment.

  8. Assists in tracking payroll at department level, for sponsored projects labor and benefit expenses and ensure costs are charged to correct accounts.

  9. Become intimately familiar with Federal Financial Assistance Uniform Guidance, 2 C.F.R 200, in order to assure organizational compliance with current rules and regulations (GAAP, CFR, OMB).

  10. Assist in the compilation of all required quarterly, annual and final project/program reports & timely processing of monthly to quarterly drawdown packages & invoicing.

 

QUALIFICATIONS: Associate's degree in Accounting, Finance or a related field, plus two years full-time clerical accounting experience or equivalency required. Demonstrated spreadsheet skills; and demonstrated human relations and effective communication skills required.

  1. Knowledge and professional acceptance of the varied missions and cultures of federal agencies. Our partners include National Park Service, Bureau of Land Management, US Fish and Wildlife Service, US Forest Service, Bureau of Reclamation, as well as state and local agencies, and non-profits.

  2. Experience with iOS, ADP Workforce Now, DocuSign, File-maker, Excel, Adobe Suite software, Microsoft Office, Google Platform (Gmail, Calendar, Google Docs). Effectively use a computer for word processing, spreadsheets, designing fillable forms and budgeting.

  3. Very strong time management skills including the flexibility, ability and desire to perform multiple and variable tasks as well as working autonomously.

  4. Must be able to pass a background check with fingerprinting prior to or within 10 days of hire date & have a valid drivers license.

  5. Demonstrated skills in planning, time management, flexibility, organization and independent work proficiency. Ability to handle multiple tasks simultaneously and to prioritize appropriately.

  6. Must have good interpersonal and communications skills and be sensitive, adaptable, professional, and articulate when dealing with others. Ability to work well as part of a highly mobile, highly functional team. Must have good written and verbal communications skills.

 Job Benefits:
