ACE National Member Support Manager

Title: National Member Support Manager
Department/Division: Program
Status:  Full-time, salaried exempt
Reports to: National Director,  Program Operations
Hours: Flexible schedule (M-F); additional hours as needed

Position Summary: 

The National Member Support Manager works across the Divisions of the Program Department, as well as with the Administration and Communication teams, to support more effective and consistent implementation of processes, procedures and policies designed to support and enhance the ACE member experience. This includes elements of the recruitment and onboarding process, training and safety of members in the field, and the transition of members to ACE alumni status.

Essential Functions and Responsibilities:

  • Coordinate across Departments to develop content that support program staff in enhancing the ACE member experience for the ACE Connect intranet 
  • Reviews orientation programs and content, and consults with Division staff for orientation program improvements and consistency, as needed
  • Support the improvement of member and leader recruitment efforts across the Program Department 
  • Assist National Program Director in their efforts to develop cross-Division recruiting strategies
  • Regularly meet with all staff engaged in member/leader recruitment to identify and support best practices across recruiting efforts
  • Provide oversight of Applicant Pool and act as liaison with the Senior Director, Administration for smooth implementation of any updates/changes to AP processes and procedures
  • Support Program staff in remaining compliant with all AmeriCorps requirements
  • Regularly audit a subset of data required for AmeriCorps compliance at the direction of the National AmeriCorps Program Manager
  • Assist Administrative Team in providing eGrants and CHC (A*C & Non-A*C) training for Program staff as needed
  • Act as support for member onboarding when needed
  • Assist program staff in meeting AmeriCorps data compliance standards as necessary
  • Train staff to ensure consistent implementation across various systems and processes utilized by Program staff specific to member management
  • Will work with Admin to support staff in ensuring the entry of member related data into CNSRVIT is consistent
  • Assist the Director of Risk Management
  • Work to develop an incident reporting database
  • As directed, assist in creating standardized risk management policies and procedures
  • Assist with risk management trainings and debriefs
  • Primary responsibility for managing the Coggins Logistics system for ACE uniform ordering
  • In conjunction with the Communications Department, maintain resources for ACE Learns and conduct trainings for staff as needed
  • Assist with the development and implementation of resources to continue the engagement of members once they have become alumni of ACE programs
  • Ensure staff user consistency with DocuSign across all divisions within Program
  • Perform other duties and related functions as needed or assigned

Physical Demands, Work Environment and Working Conditions

  • Physical Demands: Requires frequent sitting, standing, walking, hiking, carrying, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of hand and power tools, computer keyboard/mouse and other office equipment. Required to stoop, kneel, climb stairs, and/or crouch
  • Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus
  • Weight Lifted or Force Exerted: Frequently lifts up to 10 lbs., occasionally lifts up to 25 pounds
  • Environmental: Outdoor and indoor conditions. Indoor air quality is good and temperature is controlled
  • Noise Environment: Moderate noise such as in a business office with equipment and light traffic
  • Travel: This position may require travel, up to 20% per year, depending on project needs
