Job Title: Logistics Coordinator

Location: Fletcher, North Carolina (Asheville Area)

Department/Division: CREW, Eastern Division

Status: Regular Full-Time, Salaried (Exempt)

Schedule/Hours: Full-time. Flexible schedule Tuesday - Saturday; 40 hours/week with additional hours as needed. Some evening hours may be occasionally required.

Reports To: Division Director

Travel: 10-20%; Regional travel to project work sites to support vehicle logistics

Start Date: March 8th, 2022 or March 15, 2022

Position Summary:

ACE's Eastern Region program operates year-round completing trail, restoration and conservation field projects throughout the Eastern Region of the US, from the ancient forests of the Appalachian Mountains to the barrier islands on Atlantic Coast and all other aspiring landscapes of the Eastern United States! As an ACE Logistics Coordinator, you will be responsible for providing on-the-ground support at the ACE Eastern Division field base in the Asheville, NC area directly supporting our conservation field crews and projects.

The Logistics Coordinator has three major areas of responsibility:


1) Purchasing and meal planning

2) Housing and facilities management

3) Fleet management


As a member of the ACE Operations Team, the Logistics Coordinator is responsible for managing all aspects of planning, purchasing, and providing meal provisions for ACE crews working in the field as well overseeing and coordinating on-the-ground support for fleet and housing management. This dynamic position works closely with the Associate Director of Operations as well as the Member Resource team to ensure that conservation crews are prepared to successfully complete field projects with all necessary supplies and equipment. Additionally, ACE provides AmeriCorps members with shared dormitory housing during off-project days, the Logistics Coordinator plays a crucial role in ensuring that facilities are safely maintained and managed.

Essential Functions and Responsibilities:

Purchasing and Meal Planning:

  • Develop nutritious meal plans that are applicable for up to 10 (8-person) crews based in outdoor spike camp situations.
  • Purchase quality foods and pack foods in crew food bins or coolers. Ensure that when purchasing any item that ACE is getting the best value for money, check the internet for price comparison, and develop relationships with local suppliers.
  • Repair and maintain sufficient food coolers and dry boxes.
  • Maintain cook set resupply and stoves.
  • Communicate and coordinate with Crew Leaders to ensure appropriate provisions are purchased if the crew is on a field project longer than two weeks.
  • Review crew schedules and then develop a menu of breakfasts, lunches, and dinners for crews providing suitable options for those with dietary restrictions.

Housing and Facilities:

  • Coordinate with the National Director of Facilities to ensure that weekly housing checks are completed and needed repairs are reported and contractors scheduled.
  • Lead the maintenance of existing facilities, including undertaking small repairs, painting, and yard care and coordinating onsite with contractors.
  • Organize room lists for arriving and departing members.
  • Welcome new members to housing on arrival at properties and conduct housing orientations.
  • Maintain an annual cleaning and maintenance schedule including fire alarm checks, appliance checks, standards of hygiene, secure property, etc. for ACE facilities.
  • Visit ACE housing (located in Asheville, NC) weekly to ensure that the house is well maintained and stocked with cleaning supplies for crew members to perform weekly duties and upkeep.
  • Conduct house checks for cleanliness after crews leave for field projects. Enforce disciplinary measures in coordination with division leadership for members that do not meet standards.
  • Purchase and maintain cleaning supplies and other essentials for each housing unit.
  • Be available to respond to emergencies if they arise and respond in a timely manner.

Fleet Management:

  • Serve as the fleet manager for the ACE Eastern Division (14 vehicles and trailers) as the division's primary point of contact with ACE central fleet staff.
  • Inspect vehicle and trailer report forms from returning crews and take necessary action regarding any maintenance that may be needed or items that are missing.
  • Ensure fleet repairs and routine maintenance is conducted in a timely manner and to a professional standard. Keep maintenance logs up to date.
  • Obtain work needed quotes and take vehicles to a local mechanic as required.
  • Be present and assist when crews are preparing to leave on field work (rig up) and when crews return from the field (de-rig).
  • Coordinate with Crew Leaders and Project Managers to ensure that appropriate vehicles are scheduled for each field project.
  • Other duties as assigned.

Required Experience and Qualifications:

  • Possess a high school diploma or GED certificate. AS/AA or BA/BS degree from an accredited college/university preferred.
  • Intermediate level computer skills, specifically including knowledge of Microsoft Office products and a familiarity with the Google Apps suite.
  • Previous experience working with young adults in a team setting.
  • Knowledge or leadership experience within the conservation field.
  • General knowledge of fleet (vehicle & trailer) maintenance and repair.
  • Knowledge of general facility maintenance, improvements, and repair.
  • Experience shopping for and creating healthy, cost effective recipes for field crews.
  • Ability to adapt to work environments and conditions that can change frequently.
  • Experience in communicating rules and regulations and holding others responsible to expectations.
  • Ability to handle concurrent operations in a fast-paced environment.
  • Willingness to travel and camp out for extended periods of time if needed.
  • Must be flexible and possess a high work ethic.
  • Ability to understand and carry out oral and written instructions
  • Ability to establish and maintain effective working relationships with members, staff, and the general public.
  • Ability to maintain a positive, constructive work environment conducive to team performance.

Other Requirements:

  • Must be authorized to work in the U.S.
  • Valid driver's license and an insurable driving record

  • Ability to pass a federal criminal background check
  • Willing to abide by ACE Policy and Federal Drug Free workplace policies and laws. ACE reserves the right to drug test at any time

Physical Demands, Work Environment and Working Conditions

  • Physical Demands: Requires frequent sitting, standing, walking, hiking, carrying, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of hand and power tools, computer keyboard/mouse and other office equipment. Required to stoop, kneel, climb stairs, and/or crouch. Ability to hike over rough terrain, and camp overnight under field conditions.
  • Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
  • Weight Lifted or Force Exerted: Frequently lifts up to 50 lbs., ability to lift up to 60 pounds.
  • Environmental: Outdoor and indoor conditions. Work environment conditions can change frequently; working under adverse weather conditions and in various climates.
  • Noise Environment: Moderate noise.
  • Travel: This position requires domestic travel.

Compensation: $36,280.00 annualized salary (40 hours/week for 52-weeks), paid bi-weekly.

Holidays, Vacation, and Sick Time: As an ACE staff member, you will be eligible to accrue up 80 hours of paid vacation time annually during your first two years of continuous employment, then it increases to 120 hours annually. Additionally, ACE observes 11 paid annual holidays and provides 10 days (or 80 hours) of paid sick time annually.
